Seller Policy

Last Updated: [07-04-2026]

Welcome to Qraftiq

By opening a shop, you agree to this Seller Policy, our Terms of Use, Privacy Policy, and Buyer Policy. This policy ensures a safe, trustworthy marketplace for buyers and sellers, while reflecting how Qraftiq actually works today.

1. Seller Onboarding & Verification

Before your shop becomes visible on Qraftiq, you must complete:

  • 1.1 Seller Application

    You will provide:

    • Basic business details
    • Product category
    • Location
    • Photos of sample products
  • 1.2 Identity Verification

We use a secure third-party verification provider to confirm your identity and/or business documentation.

Sellers are required to complete identity verification before their shop is approved. This may include submission of a valid government-issued ID, business registration documents (if applicable), and additional verification checks depending on risk level.

Your verification data is handled confidentially and stored as described in our Privacy Policy.

Qraftiq may also conduct ongoing monitoring of seller activity, transactions, and customer feedback to ensure continued compliance with platform policies.

  • 1.3 Verification Fee

A one-time verification fee of 25 GHS is automatically deducted from your first completed sale. No upfront payment is required.

  • 1.4 Verified Seller Badge

Once approved, your shop receives the Verified badge, indicating to buyers that your identity and shop details have been reviewed.

Do not use misleading titles, inflated pricing, or false branding.

Sellers must comply with all Qraftiq policies, including the Acceptable Use Policy and Prohibited Items Guide.

4. Shipping & Delivery

  • You choose your own shipping methods for international delivery.
  • DHL Express will be available within the Premium Plan and optional for buyers.
  • Additional delivery features may be introduced over time. Updated policies will be communicated accordingly.

Incorrect Buyer Address

If a buyer enters an incorrect address, you remain protected under the Seller Protection Programme as long as:

  • You shipped to the exact address entered at checkout
  • You shipped on time
  • You provided proof of shipment/tracking

Courier Recalculation Fees (DHL Express)

DHL Express may recalculate shipping fees after a package is scanned, based on:

  • Corrected weight
  • Corrected dimensions
  • Volumetric weight
  • Packaging differences
  • Manual inspection

If DHL Express charges additional fees due to inaccurate or incomplete package information, these fees are billed to Qraftiq.

Since Qraftiq is not responsible for measurement errors made by sellers, any extra DHL fees charged to Qraftiq will be passed on to the seller in full.

This may be done through:

  • Deduction from upcoming seller payouts, or
  • A separate invoice if no payout balance is available.

Sellers are fully responsible for providing accurate packaging dimensions and weight after the product is packed.

Our goal is to prevent unexpected charges, so we recommend measuring packages after packing and rounding measurements slightly upward to avoid discrepancies.

5. Payments & Payouts

5.1 Commission

Qraftiq charges a commission on each completed sale:

  • 9% per sale (Standard Sellers)
  • 7% per sale (Premium Sellers)

Commission is automatically deducted before earnings are added to the seller’s balance.

The commission includes payment processing costs and covers use of Qraftiq’s marketplace infrastructure.

Qraftiq reserves the right to update commission rates with prior notice.

5.2 Seller Earnings

Seller earnings are calculated as:

  • Order total paid by the buyer
  • Minus Qraftiq commission
  • Minus any applicable adjustments

Adjustments may include refunds, chargebacks, disputes, shipping recalculations, or promotional discounts funded by the seller.

5.3 Premium Subscription

Qraftiq may offer a Premium Seller subscription that provides additional features and benefits, including but not limited to:

  • Reduced commission rates
  • International selling visibility
  • Shipping integrations
  • Enhanced tools and priority support

Premium subscription pricing, features, and terms will be communicated at the time of launch.

Qraftiq reserves the right to modify Premium features and pricing.

5.4 Payment Processing

Buyer payments are processed through third-party payment providers.

Payment processing costs are included in Qraftiq’s commission and are not charged separately to sellers.

5.5 Payout Schedule

Payouts are processed every Wednesday.

Only available balances are eligible for payout.

A payout fee is charged per withdrawal based on the selected payout method.

The applicable fee is displayed before withdrawal confirmation.

5.6 Payment Holds

Payments are held until:

  • Delivery is confirmed through tracking, OR
  • The buyer confirms receipt.

5.7 Temporary Holds

To protect buyers and the platform, Qraftiq may delay, hold, or restrict payments in cases including:

  • Fraud risk
  • Unusual order activity
  • High dispute rate
  • Suspicious or inconsistent behavior
  • Ongoing verification checks
  • Policy violations

Sellers will be notified if a hold is applied.

5.8 Refunds & Chargebacks

If a refund or chargeback occurs after payout, Qraftiq may deduct the amount from the seller’s available balance, future earnings, or take additional recovery actions where necessary.

5.9 Taxes

Sellers are responsible for reporting and paying all applicable taxes related to their sales.

6. Order Cancellations

6.1 Seller-Initiated Cancellations
A seller may cancel an order in the following situations:

  • The item is out of stock
  • A listing error exists (for example incorrect price or product information)
  • There is an unavoidable issue preventing fulfillment
  • The buyer requests cancellation before the order has been shipped

Sellers should communicate clearly with the buyer when a cancellation occurs.
Repeated seller-initiated cancellations may affect the seller’s Verified or Pro Seller status, as consistent order fulfillment is important for maintaining buyer trust.

6.2 Buyer-Requested Cancellations
Buyers may request cancellation of an order before the item has been shipped.
The seller reviews the request and decides whether the cancellation can be approved.
Sellers are encouraged to respond to cancellation requests within 24 hours whenever possible.

6.3 Orders Already Shipped
Once an order has been shipped, the order cannot be cancelled.
If the buyer wishes to return the item, the seller’s return or exchange policy will apply.
Each seller must clearly state their return, refund, or exchange policy in their shop.

6.4 Payment Processing Fees
If an order is cancelled after payment has already been processed, any non-refundable payment processing fees may be deducted from the refund.
This ensures sellers are not financially penalized for cancellations outside their control.

6.5 Custom or Made-to-Order Items
Custom, personalized, or made-to-order items may not be eligible for cancellation once production has begun.
Because these items are created specifically for the buyer, sellers may decline cancellation requests after work has started.

6.6 Protection Against Abuse
Qraftiq aims to maintain a fair environment for both buyers and sellers.

Accounts that repeatedly place orders and then cancel them, or that abuse cancellation or refund policies, may be subject to review. Qraftiq reserves the right to limit cancellation privileges or suspend accounts where misuse of the platform is detected.

  • You ship to a different address
  • No tracking is provided (when expected)
  • Listings are misleading
  • Packaging is inadequate

If eligible, Qraftiq may refund the buyer at Qraftiq’s cost, not yours.

Qraftiq reserves the right to review disputes, request supporting evidence, and enforce resolutions where necessary to protect buyers, sellers, and platform integrity.

10. Account Suspension

Qraftiq may suspend or close accounts for:

  • Fraud or suspicious activity
  • Repeated policy violations
  • Abusive behavior
  • Consistent failure to fulfill orders
  • Sale of prohibited items

Sellers may close their shop at any time.

Certain data must remain stored for financial, legal, or fraud-prevention reasons.

11. Liability & Disclaimers

  • Qraftiq facilitates transactions but is not the seller of goods.
  • You are responsible for your products, shipping, and customer experience.
  • Qraftiq may support dispute resolution but is not financially liable beyond the Seller Protection Programme.

Qraftiq exists to empower African creativity.

By following these policies, you help maintain a safe, honest, and fair marketplace where your business can grow and buyers can shop with confidence.
